At the top of your All Documents area, you have the ability to filter your documents, controlling what documents display in the quick view. These include the ability to search for documents by date, using the search feature to locate documents with certain titles or associated with certain contacts, and using the quick tabs to search for certain statuses. The following are the available quick tabs and what their associated status indicates:
Draft - This is where contracts that have not been sent out yet live. Keep in mind that if you make edits to a sent contract and save those edits, the contract will be brought back into the draft category and will need to be resent. Any document in here will have the draft status.
Waiting for Others - This is where contracts go when they have been sent, but have not yet been signed by all parties. In here, a contract’s status can either be sent or viewed, indicating whether or not the contact has opened the link yet. Keep in mind, by opening the link that you sent the contact, that would mark the contract as viewed and change its status to such.
Completed - This is where contracts go when they have been signed. Any document in here will have the completed status.
Payments - This is where contracts go when they have been signed and are associated with an invoice (Through a combination of the Direct Payment and Product Invoicing settings). Here, the contract’s status can be paid or payment pending, indicating if payment has been made or is still owed.
Below the search and filter area you have your quick view. This area gives details associated with your documents and displays the documents that you have filtered for. In here, you can view quick information that are formatted into the following columns:
Title - The name that you gave to your document
Status - The current status of the document.
Customer - The customer associated with the document (can be blank if in draft mode).
Date Modified - The last date and edit was made to the document.
Value - The total value for which the document is associated with, taking in account all products included within and any discounts given.
Actions Menu - A menu that allows you to make manual actions with the invoice.
With a document, using the action icon, you'll bring up a sub-menu where you can take the following actions:
View History - This allows you to see when a contract was made, when edits were made, when it was sent, when it was viewed, and when any changes to the status occurred (including when it was signed).
View - This takes you into the document where you can make edits, set a primary contact, and send the document to a contact. Please keep in mind that editing a contract that is waiting for others will set the contract back to draft and require you to resend it.
Clone - Creates a duplicate of the contract in draft mode.
Delete - Removes the document.
Mark As Complete - This allows you to skip sending the document, instead simply marking it as complete. This can be helpful if you prefer to print and get a physical signature of your document, but still wish to keep a digital record.
Download PDF - This allows you to download the document as a PDF, allowing you to either send the document as an attachment in a separate email, print the document, or store the document for record-keeping purposes.
Convert To Template - This allows you to convert the document into a template that can be used to create future documents.
For a document that is waiting for others, you can also do the following:
Share Via Link - This provides you with a shareable link to the document. Please keep in mind that if this link is opened, it would be treated as the contact viewing the document (even if you yourself are opening the link).
Move To Draft - This moves the contract back into the draft stage.
For a document that is completed, you can also do the following:
View Invoice - This allows you to view the invoice associated with the contract (provided that you have the Direct Payment or Product Invoicing setting enabled). If there is no associated invoice, this option will appear greyed out.
Share Via Link - This provides you with a shareable link to the document. Please keep in mind that this link if opened would be treated as the contact viewing the document.
Move To Draft - This moves the contract back into the draft stage.
