Weekly Available Hours - Allows you to select what days and hours will be shown as available in the calendar. By checking a day you make it available and by using the time interface you can set a range of times. If you want multiple ranges for a single day, use the plus button to add a new range. If you want to remove a range, use the delete icon. If you wish to copy the range(s) from one day to all others, you can use the duplicate button, which will duplicate the range to all checked days.
Please keep in mind, that even if a certain time is set to be available, it may not necessarily display. If your calendar is using the team member field (under meeting details), the chosen team member(s)’ availability will also restrict what times appear as available. To modify a team member’s availability, have the team member go to calendars>calendar settings>availability and modify and save their availability here.
Additionally, if your team member has integrated a third-party calendar (such as Google Calendar) that calendar may be used to check for potential conflicts and block off certain times. To see what calendars are integrated, go to calendars>calendar settings>connections and select the team member. Their primary calendar and any conflict calendars will be utilized to block off times.
Date Specific Hours - Utilized when you want to offer times only on specific dates rather than on a recurring weekly cycle for a day of the week, this allows you to select a date and set range(s) of time for that date to be available. You can use the plus icon to add additional ranges and the delete icon to remove ranges. Once submitted, you’ll see your selected date, can add additional dates, and can remove dates that you have added.
Please keep in mind, that the potential limitations on available time due to team member’s availability and connected calendars that are referenced in the Weekly Available Hours sub-bullet points also apply to Date Specific Hours.
Look busy - This feature blocks off slots that are available on your calendar, giving the appearance of high demand. You can control the percentage of slots that are shown as blocked out.
Recurring meeting - This feature opens up additional menu options to allow for a meeting to be recurring. Recurring meetings can be set to be daily, weekly, monthly, or customized. You can set the number of times you want the meeting to recur, and set what should happen if a recurring slot overlaps with an unavailable time.
Meeting interval - This feature sets how often slots appear when looking to book on the calendar. For example, an interval set to 15 minutes would display slots for 12:00, 12:15, 12:30, 12:45, 1:00, etc. However, an interval set to every hour would display slots for 12:00, 1:00, 2:00, etc. It should be noted that the meeting interval begins from the set start time (either using weekly available hours or date-specific hours) for that day and counts the slots forward from that time using the meeting interval.
Meeting duration - This feature controls the length of the booked meeting.
Minimum scheduling notice - This feature controls how long in advanced a meeting must be booked. If an available slot falls past this minimum scheduling notice, it will instead display as unavailable.
Date range - This feature is the opposite of the minimum scheduling notice - rather than limiting how close to the meeting you can book, it instead limits how far away in time you can book the meeting. This keeps meetings from being booked weeks or months in advanced, instead making it so that the meeting must be scheduled sooner. If an available slot falls outside of this range, it will instead display as unavailable.
Maximum bookings per day - This feature sets a limit for how many bookings may be made for this specific calendar for that day. Please keep in mind that this is limited to that specific calendar, so other calendars may still book up to their own unique limit for that day.
Maxim bookings per slot (per user) - This feature sets a limit for how many bookings may occur at the same time. This can be used if you want to allow the calendar to book multiple contacts for the same time (for example if offering a workshop or office hours with speakers).
For the class booking calendar, this feature is renamed to seats per class.
Pre buffer time - This feature limits the displayed availability when booking. If there is a block of time that is set to before an available appointment slot and that block of time falls within your set range of time, the appointment slot will display as unavailable.
Please keep in mind, that this feature only blocks appointment slots when booking through this calendar, meaning other calendars may overwrite these time sets if not assigned their own matching pre and post buffer times. IE. Calendar 1 has 15 minute pre and post buffer times. Calendar 2 has no set pre or post buffer times. One day, Contact A books a meeting for 12:00-12:30 on Jan 7th through Calendar 1. Later that same day, Contact B booked a meeting for 11:45-12:00 on Jan 7th. This can happen as Contact B booked a meeting after contact A did and did so using a calendar without pre or post buffer times.
Post buffer time - This feature limits the displayed availability when booking. If there is a block of time that is set to after an available appointment slot and that block of time falls within your set range of time, the appointment slot will display as unavailable.
